AsiaCare ("we", "us", "our") provides a service to help you book and manage hospital visits and related travel/assistance services in Vietnam and beyond. This Privacy Policy explains how we collect, use, and protect your information when you use our website and services.

We collect the minimum information needed to manage your bookings and support you:
- Contact details: name, phone number, optional email, optional Telegram username.
- Booking details: chosen hospital, service, dates, number of people, comments you provide.
- Passport photos (optional): if you choose to upload them during booking.
- Technical data: basic logs and metadata (e.g. IP address, browser) used for security and reliability.
- Live chat data: if you use our chat support, we store your name, messages, IP address, device type, browser, operating system, language, and the page you were on when you started the chat.
- Usage analytics: aggregated information about how you use the site, such as pages visited and basic device information.
2. How we use your information
We use your information to:
- Create and manage your bookings.
- Communicate with you about your booking (e.g. confirmations, changes, support).
- Coordinate with hospitals and service providers involved in your booking.
- Improve our service, fix issues, and keep the system secure.
- Understand how the service is used, so we can improve performance and user experience.
Passport photos: If you choose to upload passport photos, we use them only to prepare and support your booking and any related check-in or paperwork. Uploading passport photos is optional; you may also choose to share them later via a different channel.
3. How we share your information
We do not sell your personal data.
We may share your information only with:
- The hospital and related medical/service providers involved in your booking.
- Operational partners such as transport or assistance providers when needed for your booking.
- Service providers that help us run the system (e.g. hosting, logs, analytics), under appropriate safeguards.
For analytics and performance, we may use providers such as Cloudflare and Google Analytics to help us understand how the site is used. These providers receive limited technical and usage information (for example, IP address and page views) but we do not use analytics data to build marketing profiles or to sell your data.
We share only what is necessary for each party to perform their role in handling your booking.
4. Data storage and security
- Your data is stored on secure servers using industry-standard practices.
- Access to your data is limited to people who need it to operate the service and support you.
- Passport photos and other file uploads are stored using our file storage system (Active Storage) on disk.
No online service can guarantee perfect security, but we work to protect your information against loss, misuse, and unauthorised access.
5. Data retention
We keep booking records and related data for as long as needed to:
- Provide our service and support.
- Comply with legal, accounting, or reporting requirements.
When data is no longer needed for these purposes, we take steps to archive or delete it in a reasonable timeframe.
6. Your choices and rights
You can:
- Choose not to upload passport photos (you can still complete your booking).
- Contact us to correct inaccurate information about you.
- Contact us to request deletion of your data where applicable and allowed by law.
7. Cookies, tracking, and live chat
Our service uses cookies and similar technologies for things like login sessions, security, and analytics. We may use third-party analytics providers (such as Cloudflare or Google Analytics) to collect aggregated information about how people use the site, so we can improve performance and reliability.
Our live chat feature uses a cookie to remember your chat session so you can continue your conversation across pages. Chat messages are stored in our database and relayed to our support team via Telegram. We collect your name, device information, and IP address when you start a chat to help our support team assist you and for security purposes.
We do not use third-party advertising trackers to show you personalised ads, and we do not sell your personal data. You can control cookies through your browser settings, but some features of the Service may not work correctly if certain cookies are disabled.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Your continued use of the service after changes means you accept the updated policy.
